Use a consistent cutoff

Choose a predictable time when the trading day is complete. Make one person responsible for the close and pause late changes until the report is finished.

Reconcile each payment method

Compare cash and non-cash takings separately. A correct combined total can still hide an issue within one payment method.

Review exceptions

Pay particular attention to activity that can explain a difference.

  • Refunds and returns
  • Cancelled or corrected sales
  • Unusual discounts
  • Cash overages or shortages

Leave a useful handover

Give each unresolved difference a short note, an owner, and a time for follow-up. A same-day explanation is far more useful than an unexplained number discovered later.
