Core Export Traps in Busy 21 & How to Fix Them

Issue 1
Barcode vs Item Alias

Standard Item Master exports omit barcodes or place them in the Item Alias column.

Fix: In Busy column selection, export both Item Code and Item Alias. Compazz maps Alias straight to barcode.
Issue 2
Cost Price Exporting 0.00

Exporting standard Cost without inventory recalculation leaves costs at 0.00, ruining Compazz gross margin reporting.

Fix: Run Housekeeping > Recheck Inventory Valuation in Busy. Choose Last Pur. Price or Avg Cost.
Issue 3
Dual Unit Multiplier Blowout

If Busy tracks in Cartons but your POS sells by Piece, exporting Main Units causes a 24x inventory shortfall.

Fix: Export Godown-wise stock in the base retail selling unit (Pcs, Sachets, Tablets, Bottles).
Step-by-Step Export Instructions from Busy 21
  1. Log in to Busy 21 with administrative access.
  2. Go to: Display > Inventory Summaries > Godown-wise Stock Status.
  3. Select the specific Godown representing the Compazz outlet you are setting up.
  4. Press Alt + P (Print) and choose Export to File > MS Excel or Delimited Text.
  5. Under column layout, select: Item Name, Item Code, Item Alias, Item Group, Sale Price, Last Pur. Price, Closing Qty, and Min. Level.
  6. Save the file and upload directly to Compazz. Compazz automatically detects Busy headers.

Pre-Cutover Audit

The 7 Golden Rules of Clean POS Migration

Complete these checks before clicking import to guarantee 100% data integrity on Day 1.

1. Declare an Inventory Movement Freeze

Never export data while cashiers are actively selling or storekeepers are receiving goods. Announce a stocktaking freeze after closing or before opening.

2. Spot-Check Top 20 Fast Movers Physically

Count your top 20 revenue-driving items on the shelf. If the software count diverges from physical reality, correct it in the file before importing.

3. Purge Negative Stock Numbers

Replace negative numbers like -4 or -12 with 0. Compazz enforces strict stock accountability and prevents phantom negative balance distortions.

4. Backfill Missing Cost Prices

Ensure every row has an accurate cost price. Compazz uses cost prices to compute live gross profit, cashier shrinkage variance, and tax totals.

5. Audit Duplicate Barcodes

Ensure no two distinct items share the same barcode. If a product lacks an authentic manufacturer barcode, leave it blank; Compazz will identify it by unique SKU.

6. Separate Quantities by Outlet Branch

For multi-store retailers (e.g. QuickBooks Multistore or Busy multi-godown), export separate CSV files for each branch so branch counts stay clean.

7. Retain an Unedited Legacy Archive Backup

Always save the original, unmodified export and database backup (.bak, .dbf, .qbw) on external storage before running cleanups.

Frequently Asked Migration Questions

Why does Busy 21 export cost prices as 0.00?

Busy 21 relies on an inventory valuation recalculation engine. If transactions, batch receives, or opening stock were posted without running "Housekeeping > Recheck Inventory Valuation", the cost price column will output 0.00. To resolve this, run inventory recalculation in Busy or select the "Last Pur. Price" column during export.

How do I fix the broken rows in Atrex "Stock-by-Code" exports?

Do not print the "Stock-by-Code" report to a text file. The report generator includes page headers, dashed divider lines, and text word wraps that shatter rows in Excel. Instead, use "File > Maintenance > Data Export > Inventory Items" to export a clean, unpaginated comma-delimited CSV file directly from the database.

How do I import QuickBooks POS Multi-Store quantities into Compazz?

QuickBooks POS Multistore exports inventory with distinct columns: Qty 1 (HQ), Qty 2 (Branch 2), Qty 3 (Branch 3), and Total Qty. Create separate CSV files for each branch: keep the product metadata, rename that specific branch's quantity column to "Quantity On Hand", remove the other branch columns, and upload into the corresponding Compazz outlet.

Will Compazz accept Naira currency symbols (₦) and commas in my Excel file?

Yes. The Compazz inventory importer automatically strips Naira signs (₦, NGN), dollar signs ($), and formatting commas (e.g. "₦1,500.50" parses cleanly as 1500.50). It also normalizes boolean status fields and trims accidental leading/trailing spaces.

What happens if two products have the same barcode?

Compazz enforces unique barcode constraints to prevent cashiers from scanning one item and accidentally billing a different product. During import, the first product with the barcode is accepted, and subsequent duplicates are flagged in the import summary report so you can correct them.

Can I import directly from my smartphone or tablet POS?

Yes. While the Compazz Web Dashboard offers comprehensive preview mapping on desktop, the Compazz POS app on Android, iPad, Windows, and macOS also includes a direct file importer under Products > Import / Sync.
